Who This Is For
How It Works
Establish the baseline
Confirm the account, last reliable statement reconciliation, date range, and available records.
Investigate differences
Trace transactions to statements and support. Record proposed corrections and seek approval for changes affecting closed periods.
Document the result
Provide reconciliation reports, supported corrections, and open questions. Do not force a match with unexplained adjustments.
What a reconciliation should explain
The account, period, statement balance, cleared activity, and outstanding items should fit together. A reconciled bank account does not by itself prove that every transaction has the correct expense category, job code, or tax treatment. Those are separate review steps.
Start with complete statements
Provide the statement for each account and period, the previous reconciliation report if available, and the related ledger. Payment-processor and payroll clearing accounts may need their own source reports. We agree those additional reconciliations explicitly.
Keep a usable review trail
When a difference comes from an altered historical transaction, retain the relevant audit history and ask the accountant before changing a filed or closed period. When a difference is simply timing, keep the outstanding-item explanation with the reconciliation.
For a practical diagnostic sequence, see the QuickBooks reconciliation differences guide. If multiple periods need rebuilding, explore cleanup and catch-up bookkeeping. For ongoing help, see QuickBooks Online bookkeeping services.
Frequently Asked Questions
Is bank-feed matching the same as reconciliation?
No. Matching connects downloaded activity to ledger entries. Reconciliation compares the account with a complete statement for a defined period, including its opening and closing balances.
Can you reconcile credit cards too?
Yes. Credit card accounts are reconciled against their statements, including purchases, refunds, interest, fees, and payments recorded as transfers from the paying account.
What happens if records are missing?
Missing statements and supporting details are listed before the scope is finalized. Unsupported differences remain documented for follow-up; a zero difference is not created by inventing an entry.
